What we collect through this website, why we collect it, and what we do with it.

This policy covers the NeedThese website and the school portal that runs on it. NeedThese is a technology supplier to Arizona school districts, based at 4235 E Wood Street, Phoenix, AZ 85040.
It does not cover other companies' websites that we link to, such as our social media pages, or anything that happens in a separate relationship with us such as an installation contract.
What we collect
When you ask for a quote or use the contact form
You choose what to type. The form asks for:
- your school or district name
- your name, email address and, if you give it, your phone number
- a purchase order reference, if you have one
- any notes you add
- the items and quantities you selected
We record the price of each item ourselves, from our published clearance list, rather than accepting a price from your browser.
The account request form is handled the same way as a contact message. It also asks for your role and your district’s website address, which we use only to set up your sign-in. Sending it does not give anyone access: access comes only from signing in with a school account at your district’s address.
When you request an AI consultation
The booking form asks for:
- your name, your title if you give it, and your school or district
- your email address and, if you give it, your phone number
- whether you would like to meet on site or online, and up to three dates and times
- who will attend and roughly how many, and the topics you pick
- any notes you add
We use it only to arrange and prepare for that consultation.
When you sign in to the school portal
The portal has no password of its own. You sign in with your existing school account through Microsoft or Google, and your password is never sent to us and never stored by us. Your identity provider confirms who you are and passes us a small amount of information:
- your email address, and whether the provider has verified it
- your name, where the provider supplies it
- an identifier for your account, and for Microsoft work accounts an identifier for your organization's tenant
We use your email address only to work out which district you belong to, by matching the domain of your address against the website address we hold for that district. We do not use it for marketing, we do not use it for advertising, and we do not pass it to anyone else. If we cannot match your domain to exactly one district, we refuse the sign-in and tell you to call us rather than guessing.
When you upload a purchase order
We store the PDF you upload, along with who uploaded it, which sign-in provider was used, the time, the file's original name and size, a checksum of the file, and the IP address the upload came from. The file itself is stored outside the public area of the web server and is not reachable from any web address.
When you send a quote to your purchasing office
If you send a quote to a colleague for approval, we email them the quote summary, a link, and any note you add, and copy you. We keep a short record on that quote: who sent it, to which address, when, your note, and when that person first opened it here. Only people who sign in to the same district can see that record. A quote can only be sent to an email address your district signs in with.
If you are a supplier sending us product data
Manufacturers we invite can upload price and product files through a private link. We keep the file, the email address you give, your note, the time and the IP address the upload came from. The file is stored outside the public area of the web server and is used only to update our product catalog.
Technical information
- Server logs. Our web server records requests in the ordinary way, including IP addresses, for security and troubleshooting.
- Abuse limits. To stop automated abuse of our quote, contact and consultation forms we count submissions per hour against a one-way hash of your IP address, not the address itself.
- IP address on submissions. A quote request, contact message, consultation request or purchase order upload is stored with the IP address it came from, so that we can investigate misuse.
Cookies and browser storage
This site sets no advertising or analytics cookies, and there are no third-party trackers, pixels or fonts loaded from anywhere else. Product photos and specifications come from the manufacturers through Icecat, but our server collects them and serves them from this site, so your browser never contacts Icecat. There are exactly two things stored in your browser:
| Your quote basket | Kept in your own browser's local storage so your selections survive a page refresh. It stays on your device and is only sent to us when you submit the form. Clearing your browser data removes it. |
| Portal session cookie | Set only after you sign in to the portal, named ntportal. It is
strictly necessary to keep you signed in. It cannot be read by JavaScript, is sent
only over HTTPS, and holds nothing but a random session identifier. |
How we use the information
- To prepare and send you a quote, and to answer your inquiry.
- To show you your own district's quotes in the portal, and nobody else's.
- To receive and process your purchase orders.
- To keep the site secure and to prevent abuse.
- To meet our record-keeping and tax obligations.
We do not use your information to build advertising profiles, and we do not make automated decisions about you that have legal or similarly significant effects.
Who we share it with
We do not sell your personal information, and we do not share it for advertising. We share it only with service providers who help us run the business, and only for that purpose:

We may also disclose information if the law requires it, or to protect our rights, safety or property.
Where your information is held
In the United States, on our web server and in Microsoft Dynamics 365.
How long we keep it
| Quote requests, contact messages and consultation requests | Up to 24 months from the date of the request. |
| Purchase orders | For the life of the order and then seven years, as a financial record. |
| Portal sign-in sessions | Ended after one hour of inactivity, and in all cases after eight hours. Sign out ends the session immediately. |
| Abuse-limit counters | One hour. |
| Server logs | As rotated by the server, typically a small number of weeks. |
How we protect it
- The whole site is served over HTTPS, and plain HTTP is redirected.
- We never receive or store your school account password.
- Quote requests, contact messages, consultation requests, uploaded purchase orders and portal sessions are stored outside the public area of the web server, readable only by the account the site runs as.
- The portal decides which district you belong to on the server. Your browser cannot tell it which district's records to show, and a request for another district's quote returns the same "not found" answer as one that does not exist.
- Uploaded purchase orders must genuinely be PDF files, are size limited, and are stored under a name we generate rather than the name they arrive with.
No system is perfectly secure, but we take these measures seriously and review them.
Students and children
This site is for school district staff who buy technology, and it is not directed to children. We do not knowingly collect information from students, and this website collects no student records of any kind. If you believe a student has submitted personal information through this site, contact us and we will delete it.
Your choices
You can ask us what we hold about you, ask us to correct it, or ask us to delete it. Email info@needthese.com or call 480-460-5199 and we will help. Depending on where you live you may have additional rights under your local law, and we will honor those.
You can stop using the portal at any time, and you can clear your quote basket by clearing your browser's storage for this site.
Changes to this policy
If we change this policy we will update the date at the top of this page. If the change is significant we will say so on the site.
